AI has been having its moment—but at BudgetEase, we’ve learned that not every shiny insight is a useful one. We’re not dazzled; we’re discerning. And as it turns out, that’s exactly what small business owners need.
AI Insights vs. Relevant Insights
Kathy summed it up perfectly: AI can deliver insights, but most of the time, “we usually can see those insights just as fast on our own.”
Sure, AI will gladly highlight 47 patterns in your books… but only a seasoned bookkeeping service knows which three actually matter for your goals this month. We’ve learned that clients don’t need every possible data point—they need the right ones. And that’s still where humans—patient, curious, “seen-it-all” humans—have the edge.
Where AI Does Shine: Note‑Taking
While AI hasn’t replaced our judgment, it has earned a seat at the table—mainly because it never forgets anything.
AI-generated notes help ensure “tasks don’t slip through the cracks,” giving clients cleaner monthly meetings and better follow‑through. It’s the consistency that makes AI useful here. It captures every to‑do, every question, every “Oh! We need to fix that.” No more guessing what was decided last meeting.
Our Newest Favorite: Data Mining
We often deal with large spreadsheets, and when numbers don’t match or we need summaries in a different format, we’ve found AI to be a huge time-saver. For example, ChatGPT has generated a list of all the OneNote pages we have in an Excel workbook. We have also compared two spreadsheets for IOLTA accounting and used the same process to help reconcile a very complex payroll JE, ensuring that medical withholding equals the amount paid for medical expenses. That’s some heavy lifting we are happy we no longer need to do.
